MINUTES OF THE BOARD OF PUBLIC WORKS AND SAFETY

BRAZIL, INDIANA

FOR MAY 23, 2018

 

A meeting with the Board of Public Works was held on May 23, 2018 at 10:00 a.m. in the Council Chambers of the Brazil City Hall.  The meeting was called to order by Mayor Wyndham.

ROLL CALL: Mayor Wyndham, Ruthann Jeffries, Linda Messmer, Deputy Clerk Melissa Dorsett, City Attorney Traci Orman

OTHERS PRESENT: Planning and Zoning Administrator Janet McClellan, Planning and Zoning Assistant Cathy Hunter, Fire Chief Jake Bennett, Daniel Rose

PLEDGE: The pledge to the Flag was led by Mayor Wyndham.

APPROVAL OF MINUTES: Linda Messmer made a motion to approve May 9, 2018 minutes; seconded by Ruthann Jeffries.  The motion passed 3-0.

OLD BUSINESS: NONE

 

NEW BUSINESS:

  • Memorandum of Understanding – Senior Citizens – The Senior Citizens provide transportation to Senior Citizens who live in the City of Brazil. They receive funding from different sources, but the 2018 budget is not sufficient to maintain the level of all the services they provide.  City Council approved a one-time disbursement of $4000 to supplement the 2018 budget for the Senior Citizens of Clay County.  Linda Messmer made a motion to approve the Memorandum of Understanding between the City of Brazil and the Senior Citizens of Clay County to approve a one-time payment of $4000 for purpose of assisting with transportation costs; seconded by Ruthann Jeffries.  The motion passed 3-0.
  • Invoice-GAI Consultants – Ruthann Jeffries made a motion to approve invoice no. 2125153 from GAI Consultants for services through April 21, 2018 for $18,690 on the Jackson St. Sidewalk and ADA Ramp Design Project; seconded by Linda Messmer. The motion passed 3-0.  The inventory is 30% complete.
  • Invoice-Mershon and Sons Concrete –The City has a program for sidewalk repairs, where the city pays for the labor if the owner provides the materials. Maxwell Construction has utilized this program with sidewalks on their projects for New Hope. Ruthann Jeffries made a motion to approve invoices from Mershon and Sons Concrete for labor costs for sidewalk repairs for Maxwell Construction for a total of $2725. Seconded by Linda Messmer. The motion passed 3-0.
  • Mowing List – Linda Messmer made a motion to approve the Mowing List for 5/23/18; seconded by Ruthann Jeffries. The motion passed 3-0.
  • Cleanup List – Linda Messmer made a motion to approve the Cleanup List for 5/23/18; seconded by Ruthann Jeffries. The motion passed 3-0.

 

FUTURE AGENDA: Bids will be opened at 1:00 p.m. on June 6, 2018 for Remodeling of the old Duke Building.  Prebid meeting will be held May 29, 2018 at 10 a.m. in the Duke Building.

 

CLAIMS: 

  • Clerk – Linda Messmer made a motion to approve; seconded by Ruthann Jeffries. The motion passed 3-0.
  • Utilities – Ruthann Jeffries made a motion to approve; seconded by Linda Messmer. The motion passed 3-0.

ADJOURNMENT: A motion to adjourn the meeting was made by Ruthann Jeffries; seconded by Linda Messmer.  The motion passed 3-0.  Meeting was adjourned at 10:20 a.m.
